What is Access Control?

Access Control is the term given to the procedures a company implements to control who enters or leaves their premises. It plays a vital role in the security of your assets and staff.

With the rise in crime and evolving legislation for employee safety and data management access control is vital to businesses of all sizes.

Types of Access Control

There are two primary types of access control. Physical access and Logical access control. Physical access control helps manage things such as who physically has access to different areas in your premises or who can use a certain machine based on an employee’s qualifications. Logical access control helps manage connections to networks, files on servers or company data.

Physical access control can be managed with a paper procedure. Does your business use a visitor book, which helps you keep a record of who has been on site, the reason of the visit and who they visited? Paper systems like these are a start to help you record visitor information however they don’t control the areas in which a person can access. Due to this reason and the introduction of legislation like GDPR many companies are turning to electronic systems.

What is wrong with a key and lock?

It is a fair question, what is wrong with a key and lock? Well a key and lock are a component of your security that is necessary but what happens when a key is lost? Or if a key is copied without your knowledge? To ensure your building is secure you would need to change your locks which can be both expensive and inconvenient.

The advantages of an electronic system

An electronic system is made up of three main components.

1 – Door Readers / Locks

These readers are usually mounted to the walls, when an employee wants to enter through the door they need to scan their card or fob on the reader. The software will then go and check if the employee is allowed to enter through the door and if they are it will unlock the door. All this happens instantly.

2 – Cards & Fobs

Plastic cards and fobs are issued to each member of staff, they are programmed accordingly to hold details of the employee and whether they have the credentials to enter through a door controlled by the access control system. Cards and fobs can usually be reprogrammed if a cardholder is no longer a member of staff to either remove them from the software or add replace the details with a new employee.

3 – Software

The heart of the system is the software. Your electronic access system should allow you to configure your system bespoke to your businesses procedures. For example, a software such as Paxton can monitor events such as when a member of staff scanned in or out of an area, create a fire roll call which is integrated into your fire alarm systems, integrate into other solutions for time and attendance, light management or visitor management such as the popular visitor management software ProVisit.

An electronic access control system not only is an efficient way to manage your building in the long term with no need to change locks but also allows you to have full control to confidently protect your business assets and employees.

There are a few things you need to look out for when choosing which electronic access control system is right your business. Technology is always advancing so make sure you choose a reputable manufacturer that offers free upgrades to the software, work with an installer that offers support and training to ensure that your system is always operating as it should.
